We've been using Teachworks to manage our tutoring operations, but as our user base continues to expand, the platform could no longer accommodate the growing needs of our students and teachers. In response, we developed AraliaTutor, a global tutor management software.
AraliaTutor streamlines the management of clients, employees, scheduling, invoicing, teacher timesheets, payroll, and communication, enabling educational companies to automate their operations. Course consultants can efficiently serve more students and tutors, enhancing the end-to-end experience across various customer profiles.
Initially, course consultants were using Calendly to check teacher availability, while simultaneously reaching out to students for their schedules. This process required manually comparing availabilities and entering the finalized schedules onto the platform. We found through user research that this manual process was inefficient, time-consuming, and prone to errors.
Additionally, consultants were responsible for managing student records and processing invoices, tasks that also involved significant manual effort. The lack of integration between scheduling, student management, and invoicing created bottlenecks that hindered productivity and left less time for more impactful tasks, such as providing personalized support to students and teachers.
Through multiple rounds of iteration and design critiques, we explored solutions to streamline these processes. Our main goal was to automate the most time-consuming tasks, reducing the manual effort required by course consultants. We integrated real-time availability from both students and teachers directly into the platform, eliminating the need for external tools like Calendly and reducing the risk of scheduling conflicts.
Automation of repetitive tasks, such as invoicing and schedule management, has improved overall operational efficiency, ensuring that consultants can effectively manage an increasing number of students and teachers without being overwhelmed.
By integrating real-time teacher and student availability directly into the platform, course consultants no longer need to manually compare schedules. The system automatically generates and suggests the best available times, making scheduling more efficient and scalable as the user base continues to grow.
The platform offers tailored features that simplify tracking student progress, managing invoices, and processing payroll. By focusing on the exact pain points consultants faced, AraliaTutor enhances efficiency and reduces the potential for manual errors, ensuring consultants have the tools they need to manage growing workloads effectively.
As AraliaTutor continues to evolve, we ensured that the platform is scalable to handle future growth. By automating key workflows and integrating more advanced features, we aim to provide a robust system that can support a growing number of users without compromising the quality of service.
